Wurkbox respects your privacy and is committed to protecting personal information collected through our website, applications and services.

This Privacy Policy explains how WURKBOX PTY LTD ABN: 69​ 687​ 277​ 014, trading as Wurkbox, collects, holds, uses and discloses personal information when you use the Wurkbox website, web application, mobile applications and related services.

In this Privacy Policy, Wurkbox, we, us and our refer to WURKBOX PTY LTD.

By accessing or using Wurkbox, you acknowledge the practices described in this Privacy Policy.

1. About Wurkbox

Wurkbox is a software as a service platform designed to help trade and service businesses manage business operations including customers, jobs, scheduling, quoting, invoicing, staff, communications, reporting and related activities.

Businesses using Wurkbox may enter information relating to their customers, employees, contractors, suppliers and other people into the platform.

In some circumstances Wurkbox acts as the organisation collecting personal information directly from you. In other circumstances we process information on behalf of a business using Wurkbox. 

2. Personal information we may collect

The information we collect depends on how you use Wurkbox and which features are enabled.

We may collect the following categories of information.

Account information

This may include:

  • name
  • business name
  • email address
  • telephone number
  • username
  • password or authentication information
  • account role and permissions
  • profile information
  • billing contact information.

Passwords are stored using appropriate security protections and should not be accessible to Wurkbox personnel in readable form.

Business information

We may collect information associated with the operation of a Wurkbox account, including:

  • business name and contact information
  • Australian Business Number or other business identifiers
  • business addresses
  • staff and contractor information
  • services and products
  • pricing information
  • business costs
  • operating information
  • job records
  • quotes
  • invoices
  • expenses
  • schedules
  • tasks
  • business reports and performance information.

Customer and contact information

Businesses using Wurkbox may store information about their customers and other contacts, including:

  • names
  • addresses
  • email addresses
  • telephone numbers
  • job or service addresses
  • customer notes
  • communication records
  • quotes
  • invoices
  • payment information
  • job history
  • appointment information
  • files, photographs or documents relevant to work being performed.

Where this information is entered by a business using Wurkbox, that business is responsible for ensuring that it has the appropriate authority to collect and use the information.

Employee and contractor information

Where these features are used, Wurkbox may process information about employees, technicians, subcontractors and other personnel, including:

  • names
  • contact information
  • roles
  • schedules
  • assigned jobs and tasks
  • work activity
  • time records
  • notes
  • employment or contractor related information entered by the account holder.

Financial and transaction information

We may collect information relating to subscriptions, invoices and transactions, including:

  • subscription plan
  • billing status
  • transaction identifiers
  • invoice history
  • payment status
  • payment provider information.

Where payments are processed by Apple or another payment provider, Wurkbox generally does not receive or store complete payment card numbers.

Payment providers may independently collect information necessary to process the transaction in accordance with their own privacy policies.

Communications

When you contact us or communicate using features within Wurkbox, we may collect:

  • emails
  • support requests
  • feedback
  • correspondence
  • call or message information where relevant to a feature you use
  • records of interactions with our customer support team.

Files, images and documents

You or your business may upload files to Wurkbox, including:

  • photographs
  • job documentation
  • PDFs
  • attachments
  • customer documents
  • quotations
  • invoices
  • other business records.

We process these files to provide the functionality requested by the account holder.

Device and technical information

When you access Wurkbox, we may automatically collect technical information such as:

  • IP address
  • device type
  • operating system
  • browser type
  • application version
  • device identifiers
  • language and regional settings
  • crash information
  • diagnostic information
  • security and authentication logs.

We use this information to operate, secure, troubleshoot and improve Wurkbox.

Usage information

We may collect information about how Wurkbox is used, including:

  • features accessed
  • pages or screens viewed
  • actions performed
  • session information
  • login activity
  • interaction with application features
  • application performance information.

This information may be used to operate and improve the Service, provide support and understand how features are used.

Location information

Certain Wurkbox features may use location information where it is relevant to the functionality being provided.

Depending on the features available and the permissions you provide, this may include an approximate location or a device's precise location.

For example, location information may potentially be used in connection with jobs, job addresses, field service activities or other location based functionality.

Wurkbox will request the appropriate device permission before accessing location information where required by the operating system.

You can control location permissions through your device settings.

This section should be confirmed against the final iOS application before publication.

Contacts, camera and photo library

Where a Wurkbox feature requires access to device functionality, the app may request permission to use features such as:

  • camera
  • photo library
  • files
  • contacts.

Access will only be requested where required for a feature you choose to use.

For example, camera or photo library access may be requested to attach photographs to jobs or other records.

You can manage these permissions through your device settings.

The final list of device permissions must be checked against the production application before App Store submission.

3. How we collect information

We may collect information:

  • directly from you when you create or manage an account
  • when you enter information into Wurkbox
  • when another authorised user within your organisation enters information
  • automatically when you use our website or applications
  • through connected devices and application permissions
  • through third party integrations authorised by you
  • from payment processors
  • from support communications
  • from another business using Wurkbox where that business has collected your information.

4. How we use personal information

We may use information to:

  • create and manage Wurkbox accounts
  • authenticate users
  • provide Wurkbox functionality
  • store and manage business records
  • process subscriptions
  • provide customer support
  • enable integrations requested by users
  • operate quoting, scheduling, job management and invoicing functions
  • send service related communications
  • maintain and improve Wurkbox
  • diagnose technical problems
  • monitor application performance
  • protect Wurkbox and our users from fraud, misuse and security threats
  • comply with legal and regulatory obligations
  • enforce our Terms of Service

We will not use personal information for purposes materially unrelated to those for which it was collected unless permitted by law or with appropriate consent.

5. Marketing communications

Where permitted by law, we may use your contact information to provide information about Wurkbox products, services, features or offers.

You can unsubscribe from marketing communications at any time using the unsubscribe facility provided in the communication or by contacting us.

Unsubscribing from marketing communications does not prevent us from sending necessary operational, billing, security or account related communications.

6. Cookies and similar technologies

Our website and web application may use cookies and similar technologies to:

  • maintain user sessions
  • remember preferences
  • authenticate users
  • improve security
  • understand website and application usage
  • analyse technical performance.

Some cookies are required for Wurkbox to function correctly.

7. Analytics and diagnostic services

We may use service providers to help us understand application usage, diagnose errors, monitor performance and improve Wurkbox.

These providers may receive limited technical, device and usage information as necessary to provide their services.

Before App Store submission, Wurkbox will ensure that the third party analytics, crash reporting and software development kits incorporated into the production application are reflected accurately in:

  • Apple's App Privacy disclosures
  • application permission requests where applicable.

8. Third party services and integrations

Wurkbox may integrate with third party services selected or authorised by users.

Depending on the integrations offered, these may include accounting platforms, payment providers, communications systems and other business software.

Information may be exchanged between Wurkbox and those services when necessary to provide the integration requested by you.

Third party providers operate under their own terms and privacy policies.

The actual integrations enabled in the production version of Wurkbox should be listed or otherwise appropriately disclosed before this Privacy Policy is published.

9. Apple and App Store services

If you download Wurkbox through Apple's App Store or purchase a Wurkbox subscription through Apple, Apple may process information relating to:

  • your Apple Account
  • application downloads
  • subscriptions
  • purchases
  • payment processing
  • device information
  • App Store activity.

Apple processes that information independently in accordance with its applicable privacy policies and services.

Wurkbox may receive subscription status, transaction identifiers and related information from Apple where necessary to provide or verify your subscription.

Wurkbox does not receive your complete Apple payment card details from Apple.

10. How we share information

We do not sell personal information.

We may disclose information to service providers where reasonably necessary to operate Wurkbox.

These providers may include organisations that provide:

  • cloud hosting
  • data storage
  • application infrastructure
  • email delivery
  • communications
  • payment processing
  • authentication
  • customer support systems
  • security monitoring
  • analytics
  • error and performance monitoring
  • accounting or business integrations.

We require service providers handling personal information on our behalf to use appropriate protections and to process the information only for authorised purposes.

We may also disclose information:

  • where you direct or authorise us to do so
  • to other authorised users of your Wurkbox account
  • as part of an integration you have enabled

Some organisations that provide infrastructure or services to Wurkbox may operate or store information outside Australia.

Where personal information is transferred or made accessible outside Australia, we take reasonable steps to ensure that appropriate safeguards apply and that service providers protect the information consistently with applicable privacy requirements.

The countries in which Wurkbox production data and backups are hosted should be confirmed before publication.

12. Data security

We take reasonable technical and organisational measures designed to protect personal information against:

  • unauthorised access
  • loss
  • misuse
  • interference
  • alteration
  • disclosure
  • destruction.

These measures may include access controls, authentication, encryption, monitoring, backups, security testing and other appropriate safeguards.

No electronic system can be guaranteed to be completely secure and we cannot guarantee absolute security of information transmitted or stored electronically.

Users are responsible for maintaining the security of their login credentials and devices.

13. Data retention

We retain personal information only for as long as reasonably necessary to:
provide Wurkbox

  • maintain an active account
  • satisfy contractual obligations
  • maintain necessary business and accounting records
  • resolve disputes
  • prevent fraud and security incidents
  • comply with legal, taxation and regulatory requirements.

Retention periods may differ depending on the type of information and the reason it is held.

When personal information is no longer reasonably required, we will take reasonable steps to delete or de identify it, subject to information we are legally required or permitted to retain.

Backup copies may remain for a limited period as part of normal backup and disaster recovery systems before being overwritten or deleted.

14. Account deletion

If Wurkbox allows users to create an account, users can initiate permanent account deletion through the account deletion functionality made available within Wurkbox.

Deleting an account is different from cancelling a paid subscription.

If a subscription was purchased through Apple's App Store, deleting a Wurkbox account may not automatically cancel the Apple subscription. The subscription should also be cancelled through the user's Apple Account subscription settings.

When an account deletion request is completed, we will delete or de identify personal information associated with that account unless retention is reasonably required or permitted for:

  • taxation
  • accounting
  • legal compliance
  • dispute resolution
  • fraud prevention
  • security
  • enforcement of legal rights.

Where information cannot immediately be removed from backup systems, it will be isolated from ordinary use and removed in accordance with the applicable backup retention cycle.

Where a Wurkbox account belongs to an organisation with multiple users, deletion of an individual user's login may not necessarily require deletion of business records owned by the organisation.

Users may also contact us about privacy or data deletion using the details in section 24.

15. Cancelling a subscription

Account deletion and subscription cancellation are separate processes.

For subscriptions purchased through Apple's App Store, users should manage or cancel the subscription through their Apple Account.

For subscriptions purchased directly from Wurkbox, users can cancel according to the subscription management process made available by Wurkbox.

Deleting your account does not necessarily entitle you to a refund of subscription fees already paid, subject to applicable law and the applicable platform's refund policies.

16. Accessing and correcting your information

You may request access to personal information that we hold about you and ask us to correct information that is inaccurate, incomplete or out of date.
Some information can be reviewed and changed directly through your Wurkbox account.

You can also contact us using the details in section 24.
We may need to verify your identity before completing an access or correction request.

There may be limited circumstances in which applicable law permits us to decline an access request. Where appropriate, we will explain the reason.

17. Withdrawing consent and managing permissions

Where our processing of information depends on consent, you may withdraw that consent where permitted by law.

You can manage certain permissions through:

  • your Wurkbox account settings
  • application settings
  • your iPhone or other device privacy settings
  • unsubscribe links contained in marketing communications
  • contacting Wurkbox.

Withdrawing permission for certain information may prevent features that rely upon that information from operating.

For example, disabling camera access may prevent you from taking and attaching photographs directly from the application.

18. Privacy choices

Depending on the functionality available, users may be able to:

  • review account information
  • correct account information
  • manage application permissions
  • unsubscribe from marketing
  • request access to personal information
  • request correction of personal information
  • request deletion of an account and associated personal information
  • withdraw consent where applicable.

Wurkbox may provide a dedicated privacy choices page through its website.

19. Business customers and their customers

Businesses using Wurkbox may store personal information belonging to their own customers, employees, contractors and other individuals.

In these circumstances, the Wurkbox customer determines why that information is entered into and used through Wurkbox.

If your personal information has been entered into Wurkbox by a business with which you have a relationship, you should generally direct requests concerning that business's use of your information to that business.

Wurkbox will assist its customers with privacy requests where reasonably necessary and appropriate.

20. Children's privacy

Wurkbox is designed for business use and is not intended to be used by children to create independent Wurkbox business accounts.

We do not knowingly offer Wurkbox directly to children where parental or guardian consent would be required by applicable law.

If we become aware that personal information has been collected directly from a child contrary to applicable legal requirements, we will take appropriate steps to address the matter.

21. Automated processing and artificial intelligence

Wurkbox may introduce features that use automation or artificial intelligence to assist users with business related tasks.

Where such functionality processes personal or business information, information will be handled in accordance with this Privacy Policy.

If third party artificial intelligence service providers are used to process information, Wurkbox will assess appropriate privacy and data handling requirements and disclose material third party processing as required.

This section must be reviewed against the AI features included in the production product before launch.

22. Australian privacy law

Where applicable, we handle personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles and other applicable Australian privacy legislation.

Nothing in this Privacy Policy limits any rights available to an individual under applicable law.

23. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect:

  • changes to Wurkbox
  • new functionality
  • changes to third party services
  • changes to our information handling practices
  • changes in legal or regulatory requirements.

The current version will be published on the Wurkbox website and will show the date on which it was last updated.

Where appropriate, we may notify users of material changes through Wurkbox, by email or through another reasonable method.
